Aufgaben
To support our CEO, we are looking for a highly organized and proactive Assistant. In this role, you will manage the day-to-day coordination of the CEO's schedule, communications and administrative activities. You will work closely with our Chief of Staff, who sets priorities, provides guidance and reviews final outputs. This role is ideal for someone who thrives on structure, clear execution and discretion.
- Manage and organize the CEO's inbox, including prioritization, categorization, and drafting responses.
- Handle scheduling, calendar coordination and meeting logistics, including preparation and follow-up (agendas, minutes, summaries, action items).
- Follow up with internal teams and external counterparts to ensure timely completion of tasks and deadlines.
- Prepare, format, scan, upload, and organize documents, contracts and correspondence in shared systems.
- Support administrative processes related to the CEO at holding level and assist with executive reporting and presentation preparation.
- Flag urgent or sensitive matters and ensure timely alignment with the CEO's priorities.
Qualifikationen
- 2–3 years of experience in an assistant, administrative, or operations support role.
- Highly organized, detail-oriented and reliable, with strong follow-through.
- Excellent written and verbal communication skills in English and German, other languages are a plus
- Comfortable working with confidential information and sensitive topics.
- Able to stay calm and structured in a dynamic, fast-paced environment.
